How to Use the Asset Management & Maintenance Modules
Asset Management Module
Asset Management
🎯 Objective
The Asset Management & Maintenance module aims to enable companies to effectively track and manage store assets, ensuring optimal utilization, maintenance, and visibility to enhance operational efficiency.
📘 Instructions
Step 1: Enable the Modules
Ensure the Asset Management and the Asset Maintenance module are enabled in the access rights.
Next, provide access to admins and field reps’ accounts to the module from Access Rights > Groups.
Portal Level: Enable for admins.
Mobile App Level: Enable for field reps.
Step 2: Configure the Asset Management Module
Go to the Merchandiser page, click the Asset Management tab in the left-hand menu to reveal the sub-menu, and click Setup.
All fields marked with an asterisk * are mandatory to fill; others are not necessary to create a status.
Setup the Status:
Click on the Status tab.
Press on the + sign to add a Status.
Fill in the required details.
Setup the Category:
Click on the Category tab.
Press on the + sign to add a Category.
Fill in the required details.
Setup the Movement Type:
Click on the Movement Type tab.
Press on the + sign to add a Movement Type.
Fill in the required details.
Setup the Assets:
It is worth noting that the Status, Category, and Movement Purpose should be defined prior to adding the Asset.
Switch to the Asset tab.
To manually add:
Press on the + sign.
Fill in the required details.
Optional: Add an image of the asset or a supporting document such as purchase/operation agreements.
To add in bulk:
Click on the import Excel icon and select Add.
In the Excel sheet, fill in the corresponding details.
Upload the completed template to the portal.
Adding an asset will automatically display its first asset movement in line with the “Location Type” selected.
Asset Movement
🎯 Objective
Track the movement of your assets from the custody of the merchandiser to the warehouse for maintenance or from the warehouse to the branch as a new asset.
📘 Instructions
View your Assets:
Click on the Asset Movement page under the Asset Management tab.
Filter out the Asset Movements by changing the filters as required.
Add a Movement:
To manually add:
Press on the + sign.
Fill in the required details.
To add in bulk:
Click on the import Excel icon and select Add.
In the Excel sheet, fill in the corresponding details.
Upload the completed template to the portal.
Asset Maintenance Module
🎯 Objective
Manage and delegate maintenance requests efficiently and keep track of their progress.
📘 Instructions
Step 1: Configure the Asset Maintenance Module
Click on the Asset Maintenance tab in the left-hand menu to reveal the sub-menu, and click Setup.
Setup the Status:
Click on the Status tab.
Press on the + sign to add a Status.
Fill in the required details.
The first added status will be considered as the initial status. The last status should be marked as “Closed”. This is to define that after a maintenance request reaches this status, there are no steps to take afterwards.
Setup the Type:
Click on the Type tab.
Press on the + sign to add a Type.
Fill in the required details.
View the Asset Maintenance Requests:
Switch to the Maintenance Requests page.
Change the Type or Status of Maintenance Requests:
Click on the request you wish to edit.
Select the status or type from the drop-down menu.
Click Save.
Step 2: Configure the Mobile App
To access the Asset Management module, the asset must be assigned to the branch that is being visited, otherwise the asset will not appear.
Click on the Asset to create a maintenance request.
Follow up on the status of the maintenance request.
