How to Use the Promotions Module

Promotions Module

🎯 Objective

The Promotions module ensures effective execution and compliance of in-store promotional initiatives, whether seasonal, tactical, or permanent. It allows you to track, validate, and analyze promotion implementation, providing full visibility into performance. With these insights, you can identify missed opportunities, optimize execution, and maximize impact at the point of sale.

📘 Instructions

Step 1: Enable the Module

Ensure the Promotions module is enabled in the Access Rights.

Next, provide access to admins and field reps’ accounts to the module from Access Rights > Groups.

  1. Portal Level: Enable for admins.

  2. Mobile App Level: Enable for field reps.

 Step 2: Configure the Module

  1. Go to the Merchandiser page, click on the Promotions tab in the left-hand menu to reveal the sub-menu, and click Setup.

  2. Setup the Display Type:

    • Switch to the Display Type tab.

    • Click on the + button.

    • Fill in the required details.

Examples are Island Display, Pallet, Pyramid, etc.

  1. Setup the Display Size:

    • Switch to the Display Size tab.

    • Click on the + button.

    • Fill in the required details.

Examples are Full Aisle, Gondola, 2x2, etc.

  1. Setup the Reason:

    • Switch to the Reason tab.

    • Click on the + button.

    • Fill in the required details.

If an availability type is set to Yes, the reason will only appear when the field rep selects Yes during the audit. If set to No, it will only appear when No is selected.

  1. Setup the Initiative:

    • Switch to the Initiative page.

    • Click on the + button.

    • Fill in the required details.

Refer to the Field Description for more information on the required fields.

  1. Setup the Promotions:

    • Add Promotions manually:

      • In the Initiative tab, click the Settings icon of the desired initiative.

      • Switch to the Display tab.

      • Click on the + button to add a new Initiative Display.

      • Switch to the SKU tab.

      • Click on the + button to add the desired SKUs under the promotion (optional).

      • Switch to the Promotion page.

      • Click on the + button to add a new Promotion.

      • Fill in the required details.

    • Update the Promotions manually:

      • Click on the Edit icon next to the created item.

      • Update the information.

    • Add Promotions in bulk:

      • Switch to the Promotion page.

      • Click on the upload button.

      • Select Add.

      • Download the template.

      • Fill in the required information.

      • Upload the file.

      • Select Add Missing Data if you’re adding additional items or Replace All if you need to delete all previously uploaded items and add the new ones from the uploaded sheet.

    • Update Promotions in bulk:

      • Click on the upload button.

      • Select Update.

      • Download the template.

      • Update the required information.

      • Upload the file.

    • Clear Promotions in bulk:

      • Click on the upload button.

      • Select Clear.

      • Download the template.

      • Update the required information.

      • Upload the file.

  • From/To Date cannot be set earlier than the defined dates within the Initiative.

  • When importing promotions in bulk, you can choose where the promotion will be active based on its coverage. For country-wide promotions, define only the Country column on the setup template to apply the promotion to all branches in that country. The same applies to Region, City, and Store levels, automatically activating the promotion in all branches under the selected scope.

  • The greyed-out columns should not be modified in the Update and Clear templates.

Clearing the Promotions data will remove the audit data previously collected by the field reps during their visits.

Step 3: Configure the Settings (Optional)

  • Click on the Settings page under the Promotions tab.

  • Enable the settings based on your preference according to the below:

    • Add the built condition to the promotion image caption when exporting zip files: When enabled, the built condition is included in the image caption when exporting the images in the zip file.

    • Promotion images not required if audit is Yes: When enabled, promotion images are not required when the promotion is audited as Yes.

By default, promotion images are required when the promotion is audited as Yes.

  • Navigate to the Access Group and edit the Field Reps’ Access Group:

    • Audit all required company promotions in the Promotions module before submitting the visit: If disabled, the field rep can submit the visit without auditing any promotions, even if some are required. If enabled, the user must complete all required promotions only if they audit at least one.

Step 4: Configure the Mobile App

The Promotion module is only accessible in branches with an active promotion defined in the setup. Field reps can view the promotion image (if included in the setup), report whether the promotion is available, and select a reason from a predefined list to describe its condition.

In the Promotion Reports, the Built On Date is determined by the first Yes audit recorded by the field rep for a particular promotion, while the Removed On Date is determined by the first No audit recorded after the promotion is built.
