How to Use the Survey Module

Survey Module

🎯 Objective

The Survey module allows clients to create customized surveys with a variety of questions and answer types. It makes the collection of data easier and provides valuable insights for making informed decisions, thus improving operations.

📘 Instructions

Step 1: Enable the Module

Ensure the Survey module is enabled in the Access Rights.

Next, provide access to admins and field reps’ accounts to the module from Access Rights > Groups.

  • Enable the Survey Merchandiser when using Visit Surveys, or Survey when using Ad-hoc Surveys.

  • Visit Surveys are found under the Merchandiser menu, whereas Ad-hoc Surveys are located under the Survey vertical in the top bar.

Step 2: Configure the Module

  • For Visit Surveys: Go to the Merchandiser tab (top right bar), click on the Survey module in the left-hand menu to reveal the sub-menu, and then click Setup.

  • For Ad-hoc Surveys: Go to the Survey tab (top right bar) and click on Configuration under Settings Menu.

Manage the Surveys list:

  1. Add a Survey:

    • Click on the + button.

    • Fill in the required information.

  2. Assign the Survey to a specific Branch (applicable to visit surveys only):

    • Switch to the Branch tab next to the section.

    • Click on the + button and select the required branches.

  3. Assign the Survey to a specific User (applicable to ad-hoc surveys only):

    • Switch to the User tab next to the section.

    • Click on the + button and select the required users.

  4. Edit the Survey:

    • From the Survey grid view, Click on the Edit icon.

    • Apply the needed changes.

  5. Activate/Deactivate the Survey: 

    • From the Survey grid view, Click on the Activate/Deactivate icon.

    • Confirm your selection.

  6. Preview the Survey:

    • From the Survey grid view, Click on the Preview icon.

    • The survey will be displayed with all questions and answers similar to what will be displayed for the field rep.

    • You can imitate filling out the survey but the answers will not be saved or recorded.

  1. Add/Update Sections:

    • Click the Settings icon next to the created survey.

    • Click on the Edit icon to edit previously created sections.

    • Click the + button to add new sections to the survey.

Skip Logic must be enabled at the section level if any question within the section has conditional logic applied (e.g., answer or question visibility, skip logic, etc.).

  1. Add the Questions for each Section:

    • Click on the section for which you need to add questions.

    • Click on the + button.

    • Fill in the required information.

  1. If you need to add the same question/answers for several items follow the steps below:

    • Edit the question.

    • Click on the Add Items button:

      • Add an Item for the Question manually: 

        • Click on the + button.

        • Fill in the required details.

      • Add several Items in bulk:

        • Click on the upload button.

        • Select Add.

        • Download the template.

        • Fill in the required information.

        • Upload the file.

        • Select Add Missing Data if you’re adding additional items or Replace All if you need to delete all previously uploaded items and add the new ones from the uploaded sheet.

      • Update the uploaded Items manually:

        • Click on the Edit icon next to the created item.

        • Update the information.

      • Update the uploaded Items in bulk:

        • Click on the upload button.

        • Select Update.

        • Download the template.

        • Fill in the required information.

The added items will show as separate questions with the same type of answers on the mobile app.

All logic applied to this question will be removed upon adding items to it.

  1. Edit the Question:

    • Click on the Edit icon.

    • Edit the question details.

  2. Activate/Deactivate the Question:

    • Click on the Activate/Deactivate icon.

    • Confirm your action.

  3. Re-order the Questions:

    • Click on the question.

    • Drag and drop the question in the preferred order.

    • Click on the Save Sort button.

  4. Move the Question to another Section:

    • Click on the Move icon.

    • Specify which section you want to move the question to.

Conditional Logic

🎯 Objective

Enhance the efficiency and relevance of your surveys by dynamically adjusting the flow of questions based on respondents’ answers. Ensure participants are only presented with questions applicable to their responses, reducing unnecessary inputs and improving the overall survey experience.

To apply the Conditional Logic:

  • Click on the Logic icon.

  • Question Visibility: Used to show or hide a question based on the response to a previous question. It applies only to questions with predefined answer choices (single or multiple selection).

    • Show: Specifies which question to be shown.

    • If Previous: Select the previous question on which you want to apply conditional logic based on its answer.

    • Does not: Check the box to invert the selection of the Contain condition ("Does Contain" vs. "Does Not Contain").

    • Contain: Select which answers should be selected to apply this conditional logic.

    • Condition: If multiple answers are selected, check the And box to apply the conditional logic only when all selected answers match. If left unchecked, the logic will apply when any of the selected answers match.

  • Answer Visibility:

    • Show: Specifies which answer to be shown.

    • If Previous: Select the previous question on which you want to apply conditional logic based on its answer.

    • Does Not: Check this box to invert the logic of the Contain condition ("Does Contain" vs. "Does Not Contain").

    • Contain: Choose the specific answers that will trigger the conditional logic.

    • Condition: If multiple answers are selected, check the And box to apply the conditional logic only when all selected answers match. If left unchecked, the logic will apply when any of the selected answers match.

  • Skip Logic:

    • If Answer Is: Displays a list of available answers for the question.

    • Then Skip To: Select whether to skip to another section or go to the end of the survey.

  • If a question has subsequent questions related to it, and you want to skip those questions when the field rep selects a specific answer, Skip Logic must be enabled.

  • Example: If a merchandiser answers No to a specific question, you may want to skip the remaining questions and either jump to another section or go directly to the end of the survey.

Define a unique name for the survey.

From/To Date

Specify the date range when the survey should be available for field reps.

Section Name

Define a unique name for the survey section.

Sort

Specify a number to sort the section with respect to other sections

Required

Specify whether the section must be answered by the field rep. Only valid if the field rep opens the Survey Module and starts answering it.

Skip Logic

Enable Skip Logic for this section.

Distance Radius (m)

Define the distance within which a field rep must be near the branch to fill out the survey (similar to geofencing).

Enable Gallery Access

Allow the field rep to upload images from the mobile gallery.

Remove Timestamp from Images

Enable this option to remove the automatically added timestamp watermark from images.

Active

Specify whether the survey is active or not.
